Trackli desktop app

The Trackli desktop app is the full Trackli in its own window, plus a small box you can open from anywhere with a keyboard shortcut. It's handy when you're in the middle of something else and just want to write a task down.

Install

  • Mac: go to gettrackli.com/download and choose Download for Mac. Open the file and drag Trackli into Applications.
  • Windows: coming to the Microsoft Store. Until then, use Trackli in your browser.

Sign in with your Trackli account. If you use Google or Apple, sign-in finishes in your browser. Trackli shows Finish signing in in your browser. while it waits, and should bring you back to the app when you're done.

Add a task from anywhere

Press Ctrl+Option+T on a Mac (Ctrl+Alt+T on Windows). A small box opens on top of whatever you're doing.

  1. Type the task, with the date if you know it. For example: Chase Corvel for DPA comments friday. Dates work the same way as in Quick add.
  2. Press Enter.

Trackli adds the task, shows Task added with the project and due date for a moment, and closes the box so you can carry on. It also sends a quiet notification, which never shows the task itself. Press Esc to close the box without adding anything. Clicking away closes it too, and anything you'd already pressed Enter on is still added.

Pick the project

Every task needs a project. Type # and the project name in the title to choose one (ex: #vendor). If Trackli can't tell which project you mean, it shows a numbered list. Press the number, or use the arrow keys and Enter. Trackli never creates a project from the box.

If you click away while the list is showing, Trackli keeps the task. The next time you open the box it shows Finish adding a task saved earlier, so you can choose the project then.

The AI limit

Trackli uses AI to read the title, the date and the project. There's a daily limit of 200 captures that use it, separate from Spark. When the limit is reached, or the AI isn't available, the task is still added, using the same plain date reading as Quick add.

Change the shortcut

Open Settings, then Preferences, and find Desktop app. Click the shortcut, then press the keys you want. On a Mac it needs Ctrl or Cmd (you can add Option or Shift). On Windows it needs Ctrl or Alt. Shift on its own only works with a function key such as F8. If your shortcut is taken by another app when Trackli starts, Trackli tells you once and Settings shows it, so you can choose another. You can also reach Settings from the menu bar icon.

The menu bar icon

On Mac Trackli sits in the menu bar. On Windows it's in the system tray. Click it for:

  • New task, which opens the box.
  • Open Trackli, which opens the full app.
  • Settings, which opens the Desktop app settings.
  • Quit Trackli.

Closing the window doesn't quit Trackli, so the shortcut keeps working. Use Quit Trackli to close it completely.

No connection

If you're offline, the box still works. Trackli saves the task on your computer and shows Task saved offline. It's added when you're back online, with the dates you meant when you typed it. If Trackli can't tell which project it belongs to by then, it tells you, and the next time you open the box it asks you to choose one.

Screen sharing

The box is hidden when you share your screen or record it, so the people watching can't see what you type.

Open at login

Trackli opens when you log in, so the shortcut is ready after a restart. Turn this off in Settings, Preferences, Desktop app. On recent versions of macOS the Trackli window may open as well each time you log in. Close it and Trackli keeps running in the menu bar.

Connecting other tools

Connecting Google Calendar or other tools may need your browser. If a connection doesn't finish in the app, connect it from Trackli in your browser instead. It then shows in the desktop app too.

Updates

You don't need to do anything. Most improvements to Trackli reach the app by themselves, the same as in your browser. When the app itself has a new version, on Mac it downloads quietly and installs when you quit, or while you're away from your computer and Trackli isn't open in front of you.
