Recurring tasks

For the things that come round again and again, like Sam's timesheet at the end of each month, you can set the task up once and let Trackli add the rest.

Set a task to repeat

  1. Open the task (or create a new one) and give it a Start Date. Recurring tasks need one, since every repeat is worked out from it.
  2. In the settings panel, next to Repeat, click Recurring.
  3. Choose how often: Daily, Weekly, Bi-weekly (every 2 weeks) or Monthly.
  4. Choose how many times:
    • Occurrences: how many future copies to add, from 1 to 52. It starts at 8.
    • Or until date: keep repeating up to a date instead.
  5. Save the task.

Trackli shows what it will do before you save (ex: Will create 8 future occurrences).

What happens next

When you save, Trackli adds each future copy as its own task in Backlog, with its own start date. If the original task had a due date, each copy keeps the same gap between start and due date. So a task that starts on Monday and is due on Friday repeats as Monday to Friday each time.

The copies keep the title, description, project, priority, effort, time estimate and assignee. Each one has a repeat icon on its card so you can tell it's part of a series.

Because each copy is a normal task, you can move, edit or complete one without touching the others.

Change or stop the series

Open the first task in the series to change it.

  • Add more: raise the number of occurrences or move the end date later, then save. Trackli adds just the missing copies.
  • Stop repeating: click Recurring again to turn it off, then save. Trackli removes the future copies that aren't done yet.

Delete a recurring task

When you delete a task in a series, Trackli asks what you'd like to do:

  • Delete only this occurrence removes just that one.
  • Delete all future occurrences removes the rest of the series. If you start from the first task, it goes too.

Tips

  • If you see Set a Start Date above for recurrence to work, add a start date and the options appear.
  • Copies sit in Backlog until they're close. They move into To Do as their date gets near, based on Move to To Do when due within in Settings, Preferences.
