Duplicate, complete, archive and delete

Duplicate a task

Handy when a new task is a lot like an old one, such as another vendor's security questionnaire.

  1. Open the task.
  2. Click Duplicate. On a computer it's at the top of the task window, and on a phone it's at the bottom.

The copy opens straight away, called (Copy) and the original title, so you can rename it. It keeps the description, notes, project, customer, priority, effort, time estimate and tags. It starts fresh in To Do, assigned to you, with no dates. Subtasks, attachments, dependencies, comments and repeat settings aren't copied.

Mark a task done

Whichever is easiest:

  • Hover over the card on the Board and click Mark done (the tick).
  • Drag the card into the Done column.
  • Open the task, choose Done as the status and save.
  • On a phone, tap Done on the card on the Board, or the circle next to the task in My Day.

If the task still has open subtasks, Trackli asks whether to finish those too. Choose Mark all done or Just this task.

To reopen a done task, hover over it and click Reopen task (on a phone, tap Reopen), or change its status in the task window.

Archive

Archiving hides a task from your views without deleting it. It happens in two ways:

  • Automatically. In Settings, Preferences, under Task Cleanup, choose Auto-archive completed tasks after (ex: 30 days). Done tasks older than that are archived for you. Choose Never to keep them all.
  • During a backlog review. When Trackli suggests reviewing Someday tasks you haven't touched in a while, you can choose Archive for each one.

To find archived tasks again, go to All Tasks and turn on Show archived.

Archiving a project hides all its tasks too. See Projects.

Delete a task

  1. Open the task.
  2. Click Delete at the bottom, or press Cmd+Backspace (Ctrl+Backspace on Windows).
  3. Confirm with Delete.

Deleting can't be undone. If the task is part of a series, you can delete just this one or the rest of the series. See Recurring tasks.

Tips

  • Deleting a task that came from Jira only removes it from Trackli. The Jira issue stays as it is, and Trackli won't bring it back on the next sync.
  • To clear out archived tasks for good, set Permanently delete archived tasks after under Task Cleanup. Tasks deleted this way can't be recovered.
  • If you just want done tasks off the Board, turn on Hide Done column on board in the same place.
