Outlook Calendar
Connect Outlook Calendar and your meetings show up in Trackli's Calendar view next to your tasks. You can also send tasks with due dates to your Outlook calendar. It works with work and school accounts as well as personal Microsoft accounts.
Connect
- Open Settings from your account menu and go to Integrations.
- Find Outlook Calendar and choose Connect.
- Sign in with your Microsoft account and accept the permissions.
The card then shows Connected to and your Microsoft email address.
If your work needs IT approval
Some organisations only let staff connect apps their IT team has approved. If yours does, Trackli shows Admin Approval Required with two options:
- Option 1: Share this with your IT admin. Choose Copy and send the link to your IT team. Once they approve Trackli, everyone in your organisation can connect.
- Option 2: Send email request to IT. Choose Open email template to start an email with the request already written.
Once your IT team has approved it, choose Connect again. A personal Microsoft account (ex: @outlook.com or @hotmail.com) doesn't need approval.
Choose what syncs
Once you're connected, the Outlook Calendar card has these settings:
- Sync tasks to calendar: pick which calendar your tasks go into, or Don't sync. Tasks with a due date appear there as events.
- Sync direction: Both ways, Outlook → Trackli (you only see your meetings in Trackli) or Trackli → Outlook (your tasks go to Outlook, but your meetings don't come into Trackli).
- Show free events: show events marked as "Free".
- Show tentative events: show meetings you've tentatively accepted.
- Show in Trackli: turn each of your calendars on or off in the Calendar view.
How meetings look in Trackli
- Busy meetings are a solid block.
- Tentative meetings have diagonal stripes.
- Free events are faint with a dashed edge.
If you use Outlook categories to colour your meetings (ex: a red Client category), Trackli shows them in the same colours, so your calendar looks familiar. See Calendar.
How tasks show in Outlook
A task with a due date becomes an event with [Trackli] at the start of its title. If the task has a start time, the event goes in at that time. When you mark the task done, [Done] is added to the title. Remove the due date or delete the task and the event goes too.
Meeting Tasks
With a calendar connected, the Meeting Tasks card can create a Send agenda task before meetings you organise, and a Send meeting notes task on the day. See Google Calendar for how it works, as it's the same for both.
If it stops working
Calendar connections can stop working, for example after you change your Microsoft password or remove Trackli's access from your Microsoft account. When that happens, the Calendar shows a message with a Reconnect Outlook Calendar button. Press it and sign in again. Your calendar settings stay as they were.
Disconnect
Choose Disconnect on the Outlook Calendar card. Your tasks stay in Trackli.
